We collect information you provide directly to us when you create an account, including your name, email address, organization name, and billing information. When you use ClinicPulse, we collect operational data you enter such as clinic client details, task information, scheduling metrics, and analytics data. We also automatically collect usage data including IP addresses, browser type, device information, and pages visited within the application.

3. How We Use Your Information

We use the information we collect to provide, maintain, and improve ClinicPulse and its features. This includes processing your transactions, sending service-related communications, responding to your requests and support inquiries, generating analytics and reports you request, and monitoring and analyzing usage patterns to improve user experience. We do not sell your personal information to third parties.

4. Healthcare Data Handling

ClinicPulse is designed for healthcare operations management and does not store, process, or transmit protected health information (PHI) as defined under HIPAA. Our platform handles operational metrics, administrative task data, and business analytics for clinic management. Users are responsible for ensuring they do not enter PHI into the platform. If you require a Business Associate Agreement (BAA), please contact our support team to discuss your specific use case.

5. Data Security

We implement industry-standard security measures to protect your data, including encryption in transit and at rest, role-based access controls, regular security audits, and secure infrastructure hosted on enterprise-grade cloud providers. While we strive to protect your information, no method of transmission over the Internet or method of electronic storage is completely secure, and we cannot guarantee absolute security.

6. Data Retention and Deletion

We retain your account data and operational information for as long as your account is active or as needed to provide you with our services. When you cancel your account, we will delete or anonymize your data within 90 days, except where we are required to retain it for legal or compliance purposes. ClinicPulse integrates with third-party services for payment processing, email delivery, and infrastructure hosting. We do not share your clinic operational data with any third parties for marketing or advertising purposes.
